Closer proximity to vendors?  Your “why” will determine many key things about your move.  Be sure you understand your reasons, as this will then determine what other items need to be on your checklist.

2.    Plan for Growth

If you have 5 employees or 5000 employees, you’ll want to keep your future business growth plan in mind.  Most businesses plan to become better at what they do and add services or clients to grow the business.  Will your new office space be able to comfortably accommodate your team now and in the future?

3. Size Matters

Does the size of the building and new office space fully support your current and future company function? You should be able to visualize your company’s daily workflow occurring easily within this new space.

4.     Location, Location, Location

You’ve chosen your new office and building space with care, but have you also thought about the accessibility of your new location? Is the business within reasonable commute times for your employees?  Is it convenient for your customers? 

While it may seem like the “perfect” location, be sure to scout out competitors’ locations around you.  And don’t forget about your vendors and suppliers.  Being too far from their delivery zones could add costs to your bottom line. Whether it is a local or long-distance move, getting to your perfect location is essential. 

5.    “We’re Moving to…”

How far is your new business space from your original location? Whether you are moving across town, state, cross-country, or overseas, there might be different local codes.

In addition, make sure to have an attorney verify any special governmental requirements. You want to remain in compliance with regulations.

 

6.    Don’t Be Left in the Dark

There is little that would be worse than arriving at your new space, ready and eager to get to work, and finding out that your utilities have not been turned on.  A call to the electric company tells you that it will be next week before you will have service.  Don’t let this happen to you!  Plan well ahead of your move date and schedule any utilities that need to be set up and turned on.

7.    Moving your Brain

Your IT infrastructure is usually the “brain” of your company. As such, there are several things to consider when relocating your business technology. Choosing a point person within the company is the best first step.   This person can be your company IT guru, or he can hire a reputable IT relocation company, to assure a smooth transition. 

This may include assessing the new location for layout and new equipment needs, packing and unpacking the hardware, installing the equipment, determining the location of the IT department and servers, scheduling installation of internet/broadband connectivity.

8.    Manage Your Marketing

With a change of address, notifying customers and vendors well ahead of the move is needed.  Usually, you would want to send out change-of-address notices approximately 2 to 3 months prior to relocating your business.  This will enable vendors and customers to get any payables or receipts changes updated.  At the very least, you will need to revise your letterhead suite with an updated address. 

9.    U-Haul vs They-Haul

You may be tempted to choose the cheapest way to get your office moved from this location to the next.  While saving money is usually a wise choice, this may not be the best idea when moving your business. 

Get quotes from at least 3 reputable moving companies, making sure to check their insurance coverage and how they will assess and cover any items damaged in the move. It is also a good idea to talk to a few of their past customers to see if they were completely happy with their move.

10. Realistic Budgeting

Although this item is listed last, it is perhaps the most important one of all. Plan out the move, reviewing the items listed above, budgeting for contingencies, and then determine a reasonable budget amount. 

Remember that choosing the lowest-priced options during your move may save you money in the short term but cost you later in paying for employee down-time, repairing or replacing items damaged in the move, or mitigating negative customer feedback.  The budget is a key starting point to facilitating a smooth and uneventful move to your new business home.
